Virtual Assistant/ Client Support Services (Independent Contractor)

Role Description:

Exhale Psychology Group is a values-driven group private practice committed to supporting mental wellness with warmth, professionalism, and care. We are currently seeking a proactive and highly organized Virtual Assistant (VA) to join our team on a contract basis. You’ll play an essential role in supporting the day-to-day operations of the clinic while contributing to a mission that matters.

This is an Independent Contractor position (15–20 hours per month) ideal for a VA who is looking to build a long-term relationship with a small but growing mental health team. You’ll provide daily support (Monday–Friday; Saturday would be a bonus), and flexibility to manage administrative needs. Availability between 8 AM – 5 PM MST is essential to support our team in real time. While this is a remote position, preference will be given to applicants in Calgary & surrounding areas.

Key Responsibilities:

  • Provide administrative support Monday to Friday (Saturday availability is a bonus)

  • Manage scheduling, communication, and documentation via Jane App and Google Workspace

  • Assist with intake coordination, file management, and general admin tasks

  • Liaise with clinicians and clients with professionalism and care

  • Problem-solve efficiently in fast-paced situations

Daily:

  • Manage clinic inbox (client communication, forwarding messages, follow-ups)

  • Maintain and update client files and tasks in Jane App

  • Review new intakes and connection calls for follow-up actions

Weekly:

  • Follow up on failed payments and outstanding invoices

  • Ensure consent forms and documentation are complete

  • Support profile maintenance for couples/families

  • Reach out to clients who haven’t rebooked post-consultation

Monthly:

  • Attend team meetings (virtual or in-person)

  • Review contractor invoices and assist with discrepancies

Quarterly:

  • Prepare unscheduled visits reports

  • Draft and send quarterly newsletter via Squarespace

Ad-Hoc:

  • Update Jane App templates and forms

  • Assist with onboarding of new therapists

Qualifications:

  • Proficient in Jane App and Google Workspace

  • Previous experience supporting mental health or healthcare professionals in a clinic or group practice setting

  • Excellent written and verbal communication skills

  • Able to problem-solve quickly, think independently, and manage multiple priorities with ease

  • Ideally based in Calgary & surrounding area

  • Available between 8am–5pm MST to support our team in real-time

What we are looking for in a candidate:

  • You are a Registered Psychologist or Masters Level Social Worker in good standing with your College, and current liability insurance (Please Note: if you are a Registered Provisional Psychologist, we would require that you have an external supervisor, and that you have completed your EPPP and LEAP exams)

  • You have training and experience (or an interest in) working from an ACT perspective. Somatic trauma therapies are considered an asset (EMDR, ART, Brainspotting, Hakomi, IFS, etc.)

  • If you work with children & youth, you work from an attachment lens. You have some specialized training or experience in working with this population.

  • If you work with couples, you are trained in Gottman Method, EFT for couples, or other evidence based modality for couples therapy

  • You engage in frequent self reflection and have done your own work through therapy, self reflection, consultation, and/or other means

  • You share the same values and you align with our practice as a whole

  • You want to be part of a thriving and growing private practice that provides you with a sense of community, engagement, and empowerment.
